01 The basics
Getting started.
Will my callers know they're talking to an AI?
Yes. The first thing it says on every call, before anything else, is that the caller is speaking with an AI assistant. We don't hide it, and callers who'd rather speak to a person can ask for one at any point. Call recording is switched off at the moment; if it is ever turned on, that is disclosed in the same breath.
Do I have to change my phone number or install anything?
No. You keep the number you already give out. The only change is call forwarding on your existing phone, so the calls you don't pick up go to Sintaya instead of voicemail. There's no app to install — everything reaches you as a text.
How long does setup take?
Your part is about five minutes of call forwarding. Before that, we build your assistant and put it through test calls, and we'll give you a go-live date before you sign.
Home-service businesses (plumbing, HVAC, electrical, roofing and the like) are quickest, because that's the call flow Sintaya was built on. For other industries the first setup takes longer, because we write the call flow around how your business actually works. We'd rather tell you that up front than promise a week and take three.
Can I use it only after hours?
Most owners forward only the calls they don't answer, which covers after hours on its own: once you stop picking up, Sintaya does. During the day it catches the calls you miss while you're busy, and you still answer every call you can.
Do you work with my industry?
If your business takes phone calls and books time, almost certainly. We've written call flows for plumbing and HVAC, salons and barbershops, dental and medical, med spas, law firms, auto repair, cleaning, roofing and landscaping. Not on the list isn't a problem; it just means the first setup takes a little longer.
How new is this? Who else uses it?
Sintaya is new, and we're onboarding our first customers now. We're not going to invent a customer list or a testimonial to look bigger than we are. What we can offer instead is a live demo line you can interrogate for as long as you like before spending anything — which is a better test than a quote from a stranger.
02 On the call
What actually happens when someone rings.
Can it put a caller through to me or my team?
Yes. During your business hours, when a caller asks for a person, it rings your phone — or your team's, one at a time in the order you choose. If nobody picks up, it takes their details and texts them to you, so the call never ends in silence.
After hours it takes details instead of ringing you, with one exception: anything you've told us counts as an emergency, like a burst pipe or a gas smell, rings you straight away at any hour.
What happens if a caller asks something it doesn't know?
It says so and takes a message, instead of guessing. It never invents a price, confirms a job it isn't sure about, or books a slot that isn't really open. We'd rather it say “I don't know, but I'll have someone call you” than make something up that you then have to walk back.
Does it speak Spanish?
Your line can be set up to answer in Spanish, and your weekly summary can come in Spanish too. On Pro and above you can have a second number dedicated to Spanish-speaking callers.
What if someone is rude to it, or tries to break it?
It stays polite and keeps working. It's been tested against hostile callers, background noise, mumbling and dropped connections before ever answering a real customer. If a caller becomes abusive or the conversation goes in circles, it stops looping, takes what it has, and hands off rather than arguing.
What happens if your system goes down?
The call falls back to ringing your own phone directly. That fallback lives with your phone carrier, not with us, so it works whether or not our servers are up. A bad day for us should look like a normal missed call to you, not a dead line.
03 Booking & calendars
Where appointments go.
Which calendars can it book into?
Google Calendar and Microsoft 365 / Outlook. It checks your real availability while the caller is on the line and books the slot directly, then texts the details to you and to the caller.
I use Booksy / GlossGenius / Jobber. Does that work?
You're still a good fit, but booking stays where it is. Those systems don't let anything outside them reserve a slot reliably — the sync is one-way or hours behind, so trying to book into them would double-book you within a week. We won't promise that.
What you get instead: every call answered, questions answered, emergencies put through, and the caller's name, number and what they want texted to you within seconds. Your booking app only works for people who were already going to use it. Sintaya is for everyone else.

I run more than one van, chair or room. Can it book two jobs at the same time?
Can it reschedule or cancel an appointment?
On Google Calendar, yes — a caller can move or cancel a booking on the phone. On Microsoft 365 that isn't built yet: the assistant takes the request and texts you to make the change. We'd rather say that here than have you find out from a customer.
04 Pricing & plans
What it costs, and what happens if you outgrow it.
What does it cost to start?
Plans start at $197 a month, and there is no setup fee on any plan — nothing is due before your first call is answered. A six- or twelve-month term lowers the monthly rate; it's still billed monthly, never up front. The plans page compares all four side by side.
Which plan do I need?
Pick by how many calls you get and how many people or places can take work at the same time. Under about four calls a day with one book of appointments is Start. Two or three people working at once is Growth, where most businesses land. Crews running in parallel is Pro. If you're between two, start lower — moving up mid-term costs nothing.
What happens if I go over my minutes?
Nothing breaks. We text you at 80% of your allowance and again if you reach it, and we keep answering either way. Passing your allowance is a conversation, not a cutoff, and we never bill you by the minute.
If you run over two months in a row we'll move you up a plan on 30 days' notice, and you can cancel instead if you'd rather. The only thing that pauses automated answering is a month at roughly double your allowance, which exists to catch a misdirected number or an auto-dialer — not a busy month. Even then, callers' details still reach you.
Am I locked into a contract?
Only if you choose to be, in exchange for a lower price. Month to month, you cancel with 30 days' notice and owe nothing further. On a six- or twelve-month term, leaving early means paying the difference between your term rate and the month-to-month rate for the months you actually used — on Growth that's $100 a month — and nothing more. The term buys a discount; leaving early just returns it.
Is it cheaper than an answering service?
Usually, and it doesn't get more expensive when you get busier. Answering services typically run $300–800 a month and rise with call volume; a front-desk hire is $3,500–5,000 fully loaded. Our rate is flat whether you take 50 calls or 500. The comparison table sets the options next to each other.
05 When it gets it wrong
Because it will, sometimes.
What if it mishears a name or a number?
It happens, and it's why every call reaches you with the full transcript. The assistant reads addresses back before booking and asks callers to spell things it isn't sure of, but speech recognition isn't perfect. Treat what it delivers as a lead to check, not a verified record — the transcript is right there if something looks off.
What if it books something it shouldn't have?
Tell us and we'll fix the rule that let it happen, not just the booking. Every call is transcribed in full and every booking is logged, so we can read exactly what was said rather than guessing. If a rule needs changing — a service you don't offer, an area you don't cover, a time you're never open — that's a change to your setup, and on Pro it lands the same week.
How do I know it's actually working?
Three ways, without asking us. Every call texts you within about a minute. A password-protected portal lists your recent calls, leads and bookings with the full transcripts. And a weekly summary tells you how many calls came in, how many became bookings, and what people asked for. If a week looks wrong, you'll see it before we do.
Can I listen to the calls?
Yes. The full transcript of every call is in your portal, with a short summary of what the caller wanted. They're there so you can see exactly what was said — both when it goes well and when it doesn't.
06 Your data
Who can hear your calls.
Are calls recorded? Who can see them?
Call audio is switched off at the moment, while we finish a consent step our lawyer wants in place first — so no recording of anyone's voice is kept. Every call is still transcribed in full. You can read those in your portal; we can read them when we're setting up your assistant, checking its work, or fixing something that went wrong. Nobody else. We don't sell them and we don't use them to train AI models. The detail, including one thing we're still changing, is on our security page.
What do you see of my calendar?
Which time blocks are busy, and nothing else. We never receive event titles, descriptions, attendees, locations or attachments — only that something occupies 2pm to 3pm.
Are you SOC 2 audited? Can you sign a BAA?
No to both today. Worth knowing that HIPAA certification doesn't exist — nobody official certifies it — so the real question for a practice is whether we can sign a Business Associate Agreement, and we can't yet. If our assistant answers a dental or medical line, callers explain why they are calling, which is protected health information, and you would need that agreement in place first. Tell us before anything else if that is you. SOC 2 is the same answer: not audited. A security review is part of the Enterprise plan. See Security for what we do and don't have.
What happens to my data if I leave?
We delete it from our systems and have our providers delete theirs, any call audio included, and we check each one was actually erased rather than assuming it was. You can ask for that at any time, not only when you leave.
